At Alpinist Climber Expeditions Pvt. Ltd. (“ACE”), we know that booking a mountaineering expedition, peak climb, or trek means trusting us with some of your most personal information — from your health details to your passport number. We take that responsibility seriously.

We only collect the information we genuinely need to plan, book, and safely run your trip. Depending on the services you use, this may include:

•     Identity & contact details: your name, date of birth, nationality, gender, passport number and expiry date, home address, phone number, and email address.

•     Emergency contact information: the name and contact details of someone we can reach if there is an emergency during your trip.

•     Health & medical information: your medical certificate, fitness declarations, pre-existing conditions, allergies, medications, and any other health details relevant to high-altitude travel.

•     Insurance details: your travel insurance policy number, provider, and coverage, so we can act quickly if you need emergency evacuation or treatment.

•     Payment information: billing details needed to process your deposit and balance payments. We do not store full card numbers — payments are handled securely by our bank or payment provider.

•     Travel documents: visa details, permit applications, and any other documentation required by Nepalese authorities for your trip.

•     Photos & videos: images and footage taken by our guides or staff during your trip.

•     Website usage information: basic technical details, such as browser type and pages visited, collected through standard analytics tools when you use our website.

How We Use Your Information

We use your personal information to:

•     Confirm, manage, and personalize your booking

•     Apply for climbing permits, park entry fees, and other approvals with Nepalese government authorities

•     Arrange visas, guides, climbing Sherpas, porters, lodges, and domestic transport on your behalf

•     Communicate with you before, during, and after your trip

•     Respond to a medical emergency, including sharing relevant health and insurance information with hospitals, evacuation services, or your insurer

•     Process payments and maintain financial records

•     Improve our services and respond to feedback or complaints

•     With your consent, use photos or videos from your trip for marketing

Who We Share Your Information With

We do not sell your personal information. We only share it where necessary to deliver your trip safely and legally, including with:

•     Nepalese government authorities and permit-issuing bodies (such as the Department of Tourism, Nepal Tourism Board, and Nepal Mountaineering Association), as required for permits and park entry

•     Embassies and immigration authorities, where relevant to your visa

•     Local partners, including guides, climbing Sherpas, porters, hotels, lodges, and domestic airlines, so they can provide services to you

•     Your travel insurance provider and medical facilities, in the event of illness, injury, or emergency evacuation

•     Banks and payment processors, to handle your payments securely

•     Professional advisors, such as our accountants or lawyers, where necessary for legal or financial purposes

International Transfers of Information

Because our clients travel from all over the world, your information may be processed or accessed outside Nepal — for example, by your home insurance provider, your embassy, or international payment processors. We take reasonable steps to make sure your information continues to be protected wherever it is handled.

We use reasonable technical and organizational measures to protect your personal information from loss, misuse, or unauthorized access, including limiting access to staff members who need it to do their jobs. However, no method of storage or transmission over the internet is completely secure, and we cannot guarantee absolute security.

We keep your personal information for as long as necessary to provide your trip, meet our legal and regulatory obligations — for example, tax and permit record-keeping requirements — and resolve any disputes. Once your information is no longer needed for these purposes, we securely delete or anonymize it.

Photos, Videos & Marketing

As explained in our Terms and Conditions, our guides and staff may take photos or videos of you during your trip, which we may use for marketing purposes — such as our website, social media, or brochures — without additional compensation to you. If you would prefer that we do not use your image this way, simply let us know in writing before or during your trip, and we will respect your request.

Cookies & Website Usage Data

Our website may use basic cookies or similar analytics tools to understand how visitors use our site, such as which pages are most popular. This helps us improve our website and services. We do not use this information to build detailed advertising profiles, and we do not sell it to third parties.

ACE's expeditions and treks are only available to clients aged 18 and over, in line with our Terms and Conditions. We do not knowingly collect personal information from children.

I have been climbing for 15 years, over 4 continents. This was my 3rd trip to Nepal. And this was undoubtedly one of the Best-organised expeditions have participated in. Cannot thank Prakash and his Team enough. The attention to detail both in terms of equipment, climbing conditions, and accommodation/food was outstanding. And despite having limited exposure to high altitude alpine style climbing, always felt comfortable in the climbs and approach. I put this down to Prakash and his experience as well as the unique approach to team size. The small team ensures that a more flexible and sensible approach is applied to all technical aspects of the climb-including importantly how you physically feel and acclimatise. I needed to spend 5 days at Namche due to a sinus infection, and never felt that this jeopardised the rest of my climb. The same goes for weather delays. I eventually overran the climbing calendar by 5 days without a single complaint from Prakash and his team. You feel like a climbing partner rather than a paying client. My only regret is that Alpinist Climber Expeditions does not have a more international footprint as would have liked to climb with Prakash and his Team internationally as well as in Nepal.

Our IFMGA-certified mountain guides carry specialized gear not only for their own safety but for the well-being of the entire team. Their packs are carefully organized with technical climbing equipment such as harnesses, helmets, crampons, ice axes, carabiners, ascenders, descenders, and safety slings, allowing them to manage steep snow, ice, and glacier terrain.
